Records and Registry Unit

Mandate

The mandate of the Records Unit is to effectively and efficiently manage (create, store and retrieve) all the records (manual and electronic) of the Assembly. The unit operates under the Public Records and Archives Administration Department (PRAAD) guidelines and national records management legislation.

Mission

To provide timely, accurate and professional records management services that support the administrative functions and decision-making processes of the Cape Coast Metropolitan Assembly.

Core Functions & Responsibilities

  • Create, register and maintain all incoming and outgoing correspondence of the Assembly.
  • Develop and implement a records management system for the Assembly.
  • Ensure the security, confidentiality and integrity of all official records.
  • Facilitate timely retrieval of records for administrative and legal purposes.
  • Coordinate the archiving and disposal of records in accordance with national guidelines.
  • Digitize records to enhance accessibility and preservation.
  • Train staff on records management procedures and policies.
